About the Role
The person occupying this position is responsible for the Entertainment Department’s office administration. He/she handles the organization of the department in accordance with instructions from the Entertainment Manager; the position includes, in addition to the preparation of work plans and the calculation of personnel costs on the basis of timesheets, all office work arising (clerical work, management of office materials) in cooperation with the Entertainment Manager.
Area of responsibility

He/she handles the organisation of the department in accordance with instructions from the Entertainment Manager; the position includes, in addition to the preparation of work plans and the calculation of personnel costs on the basis of timesheets, all office work arising (clerical work, management of office materials) in cooperation with the Entertainment Manager;

Moreover, all functions and obligations must be carried out in compliance with ISM/ISO and SQM Standards, USPH Guidelines as well as regulations governing environmental protection and safety.
It is expected that every employee on board is able to assume all the functions in the various service departments on the whole ship.
All staff members must behave politely and professionally at all times. This applies to physical and verbal dealings with guests or colleagues and/or all areas in which contact with guests and crew members occurs.
Scope of duties
Prepares the work plan/assignment plan for the entertainers and the technicians following consultations with the management team and the Entertainment department.
Takes part in daily managers/team meetings on board.
Designs documentation on the basis of instructions from the Entertainment Manager and/or Technical Manager.
Maintains a cabin occupancy plan and administers accommodation planning in consultation with the Entertainment Manager.
Keeps the Crew on Board List up to date.
Takes the minutes in all meetings of the Entertainment Department
Ensures that all work is carried out in the most economical manner possible and in accordance with the agreed standards.
Active integration in the ship’s community, participation at team meetings.
Active implementation of the product philosophy.
Monitoring strict compliance with all regulations (USPH/HACCP), compilation and verification of orders for the department subject to strict compliance with budgetary and other requirements.
Prepares verification logs and files them carefully in the files provided for this purpose.
Constant improvement in operations and standards including input into manuals and regulations.
Additional functions must be assumed during handover and time spent in dock.
Prepares time sheets for all members of the Entertainment Department and forwards them to the payroll purser for payment.
Ensures the careful treatment of all company property.
Knowledge of the allocated security number (to be found in the ship’s statutes) and appointed duties in an emergency.
Fulfilment of obligations to passengers as host in accordance with instructions from supervisors (e.g. stair-guiding).
Prepares a comprehensive takeover for his/her successor.
Qualification/Work Experience
Qualified training.
Very good IT knowledge, particularly MS Office.
Outstanding cost and budget-oriented way of thinking.
Ability to negotiate in German and English (verbal and written); knowledge of additional languages an advantage.
Good general education
Very good knowledge of planning and organisation.
